[Account Owner] Overview of Reports

If you’re all about reports like us, you're in the right place! πŸ“Š For Account Owners, we offer an array of reports depending on your analytical needs. 

To get started, navigate to a specific report by using the links in the green box below. πŸ‘‡ 


Client Report

For a broad report of all clients on your account, including not only profile information but also key subscription and one-time invoice data, head to Clients in your left-hand sidebar!

By using the  Filter function you can restrict your view to the payment method types, then export the invoices into an Excel report or as PDFs.

Once you click on the filter, the Default Payment Method Type will show. From there you can select click the dropdown on it and click on the desired default payment methods to show in the filtered results for your clients.

Once filtered, you can also export those clients if needed.

Click Export in top right-hand corner to export the report in Excel format:

Items shown on the export include:

  • Client Email 
  • Client First Name 
  • Client Last Name 
  • Display Name
  • Advisor Name 
  • Client Created Date (date added to AdvicePay)
  • Status (Active/Inactive -- an "Inactive" status means the client was deleted)
  • Default Payment Method (ACH, CC, none)
  • Active Subscription Count 
  • Unpaid Invoice Count 
  • Total Revenue 
  • Revenue YTD 
  • Next Subscription Bill Date (only populated once the current invoice billed is updated to Paid and the upcoming invoice is generated)
  • Next Subscription Bill Amount (only populated once the current invoice billed is updated to Paid and the upcoming invoice is generated)
  • Next One-time Invoice Due Date 
  • Next One-time Invoice Amount 
  • Past Due Invoice (True/False) 
  • Failed Payment (True/False) 
  • Client Attributes (each attribute created is listed in its own column; protected attributes will not be displayed)

Both Account Owners and Firm Admin/Analyst users can access this download for clients firm-wide!

All advisors with login access can download this report for their assigned clients, and Managing Advisors can download the report for all clients in their Office.


Advisor Report

Big fan of reports? Same here! To gain more information on the advisors on your account, head on over to Advisors > Export to download an Excel file with stats for all your advisors -- both active and deleted.

The report includes the following data points:

  • Email
  • First Name
  • Last Name
  • Status (Unregistered/Registered)
  • Advisor Type (Managing Advisor, Standard Advisor, Read-only Advisor, No-login Advisor)
  • Advisor ID
  • Firm Name
  • Created Date
  • Canceled Date
  • # of Clients
  • # of Active Subscriptions
  • # of Active Monthly Subscriptions
  • # of Active Quarterly Subscriptions
  • # of Active Semi-Annual Subscriptions
  • # of Active Annual Subscriptions
  • # of Transactions Processed To Date
  • # of Total Revenue
  • # of YTD Revenue
  • # of Tags

Admin Report

If you're looking for a place to see all of your Administrative users on your account? We've got a great Admin Report just for that! ✨

To export an Excel file of all the Admins created on your account visit AccountsAdmins, and click the Export button in the top right-hand corner:

 The export file includes the following information:

  • Email
  • First Name
  • Last Name
  • Parent Advisor Email
  • Parent Advisor First Name
  • Parent Advisor Last Name
  • Parent Advisor ID
  • Admin Role (Admin, Analyst, Admin (Home Office), Analyst (Home Office),
  • Firm Name
  • Created Date
  • Canceled Date
  • SSO ID (If SSO is applicable)


Invoices Report

The Invoices page located in your sidebar ( Transactions > Invoices) contains a combined view of both your one-time and individual subscription invoices! You can use this page to easily find and manage things like:

  • All failed invoices
  • Invoices (both one-time and individual subscription invoices) that are in the Unpaid status
  • Past due subscription invoices
  • Payments that have completed transferring to your bank account within the last quarter
  • Paid invoices with a specific Description of Service
  • Refunded invoices for specific clients
  • Invoices created by an advisor during a specific time period
  • And more!

By using the Filter function you can restrict your view to a variety of specific scenarios, then export the invoices into an Excel report or as PDFs.


Download transaction + payout reports for ACH/credit card payments

How to Filter Invoices:

1. Click the Filters button

Tip: The Descriptions of Service category allows you to select invoices associated with saved descriptions under "List of services" at Firm Settings > Invoice and/or Account Settings > Invoice.

3. Select ApplyFilters 

4. Optional: to download the filtered invoices into a single PDF file, select Actions > Download Invoices.

To export the filtered invoices into an Excel report, select Actions > Export to .XLSX

Items shown on the Excel export include:


  • Status (e.g. Paid, Unpaid, Refunded, Failed, Pending Approval, Upcoming)
  • Client Name
  • Advisor Name
  • Invoice ID
  • Amount
  • Refund Amount
  • Due Date
  • Paid Date
  • Rep Code (if applicable)
  • Engagement ID

5. To clear your filters/start over from scratch, select Filters > Reset Filters



Download transaction + payout reports for check received through Online Check Deposit

Filter Options

Status:

  • Paid
  • Unpaid
  • Transferred
  • Refunded
  • Past Due
  • Failed
  • Upcoming
  • Offline Payment (e.g. Invoices marked as paid, online check deposits)
  • Pending Approval
  • Approval Rejected

Type:

  • One Time Invoices
  • Subscription (this includes Upfront Invoices attached to subscriptions as well!)

Office:

  • Type in or select an Office

Client:

  • Type in or select Client Name

Advisor:

  • Type in or select Advisor Name (only available to Full-Access Advisors and firm-level Admins/Analysts)

Date Invoiced:

  • From Date - To Date

Due Date:

  • From Date - To Date

Date Paid:

  • From Date - To Date

Date Transferred:

  • From Date - To Date

Description of Service:

  • Type in or select a saved Description of Service (can type in the content of description or title to search)

Checks Report

Just go to  Transfers > Checks and click Export in the upper right-hand corner:

For a full report of all transfers, make sure the  All Transfers tab is selected, then click Download. 

Or, to narrow the report down to specific dates, click the Select Dates tab, choose your date range, and click Download.

When requesting data more than one week old, please check your inbox!  We will deliver your file via email. πŸ™‚

Transaction Reports Credit Card & ACH 

Download your transaction + payout reports for Credit Card and ACH payments anytime through your AdvicePay dashboard! 

Just go to  Transfers > Credit Card & ACH and click Export in the upper right-hand corner:

For a full report of all transfers, make sure the All Transfers tab is selected, then click Download

Or, to narrow the report down to specific dates, click the Select Dates tab, choose your date range, and click Download.

The subject line is Your AdvicePay Bank Transfers and comes from info@app.advicepay.com.

How to find the arrival date of a specific client payment:

Both tabs include the Payout ID, while the Payouts tab includes the arrival date of each payout you've received.

To see the arrival date of a particular payment, find its Payout ID under the "Transactions" tab and match it up with the Payout ID under the "Payouts" tab.


Send scheduled transfer reports to one or more recipients

Set up a bookkeeper, virtual assistant, operations admin, or even just yourself to receive automatic daily, weekly, and/or monthly transaction reports via email! Any email address can receive these reports (even if it is already receiving reports from another AdvicePay account or it isn't associated with an admin/billing user on your firm account).

Frequency options:

  • Daily - will be sent every morning for the previous day's data
  • Weekly - will be sent Monday mornings for the previous week's data
  • Monthly - will be sent on the 1st of the month for the previous month's data

If there are 0 transactions for the reporting period, no emails will be sent.

To set up scheduled reporting, go to Emails & Notifications and scroll down to the Advisor Notifications section. Toggle the button to on for the reports you want to receive. The report will automatically be sent to your account email address.

❓Want to add additional report recipients? Click the gear icon to access the report's settings:

Enter an Email Address and click Add. Click Save. 

Note: To remove recipients, click the "X" button next to their email address. After your adjustments, be sure to save your changes! 

Both the Firm Manager and Admin Users are able to set up and manage report scheduling.


Subscription Reports

If you're curious to know when a subscription was created or if it's still active, we have a subscription report just for that!

The Subscription page is located in your sidebar ( Transactions > Subscriptions) contains all individual subscriptions in one location! You can use this page to easily find and manage things like:


  • All failed subscriptions
  • Upfront payments on subscriptions
  • Past Due subscriptions
  • Next bill date
  • Paid subscriptions with a specific Description of Service
  • Subscriptions created for a client during a specific time period
  • Subscriptions created by an advisor during a specific time period
  • And more!

By using the Filter function you can restrict your view to a variety of specific scenarios, then export the invoices into an Excel report.

How to Filter Subscriptions:

1. Click the Filters button

2. Click a Category's drop down arrow to reveal its filtering options. Select or enter the information you want to see. Once selected you'll see this information filtered automatically. (You can fill out any number of categories to narrow your view even further!)

Tip: The Descriptions of Service category allows you to select subscriptions associated with saved descriptions under "List of services" at Firm Settings > Invoice and/or Account Settings > Invoice.

  1. To download the report, click on the Export button.

Items shown on the Excel export include:

  • ID
  • Created Date
  • Client Name
  • Client Email

4. To clear your filters/start over from scratch, select Filters > Reset Filters

One thing to note about filtering is that only the fields in the items listed in "Items shown on the Excel export include" above will be exported, other filters are only visually filtered in the user interface (UI).

Deliverables Report

For a report of your Deliverables, head to Deliverables in your left-hand sidebar!

Select Actions > Export to .XLSX to export the report in Excel format:

Items shown on the report include:

  • Status (open, pending_signatures, past_due, complete)
  • Client Name
  • Advisor Name
  • Deliverable Type
  • Due Date (blank if status = upcoming)
  • Submitted Date (blank if not submitted or status = upcoming)
  • AP Engagement ID
  • External Engagement ID
  • Engagement Name

Both Account Owners and Firm Admin/Analyst users can access this download for deliverables firm-wide! All advisors with login access can download this report for their own assigned deliverables.


eSignature Document Report

To export an Excel file of all the documents created on your account, visit Document Vault > Documents and click the Export button in the top right-hand corner:

The export file includes the following information:

  • Status (e.g. Opened, Signed, Voided, etc.)
  • Advisor Name
  • Advisor Email
  • Client Name
  • Client Email
  • Recipients
  • Template Name
  • Invoice # (if document was attached to an invoice)
  • Date Sent
  • Date Completed
  • Engagement ID


Engagement Report

Ever wonder how many Engagements a clients has, who their advisor is, or if there is a deliverable for it!? πŸ“ƒ We do too!  Look no further, because now you can check out all this useful information and more in our Engagement Report

For a report of Engagements, head over to Engagements in your left-hand sidebar then click on Export!

You'll see the following items on the  XLSX. spreadsheet:

Approvals Report

Need to see all your approvals, no problem! This can be performed right inside of the Approvals Table but clicking on the top right button:

The report will automatically download to your device and will show the following columns in the report for all Approval types:
